VOLUNTEER COORDINATOR
**This position is funded through Canada Summer Jobs (CSJ). To be eligible, applicants must be younger than 30 years of age at the start of employment.
The Volunteer Coordinator is responsible for:
Volunteer Program – maximum 50-60 volunteers.
- Volunteer recruitment to hire, orient and administer volunteers.
- Manage all volunteer applications, police checks, health & safety procedures.
- Ensure volunteer database is up to-date and accurate.
- Manage volunteer scheduling, training, terminations, and onsite supervision along with Park Manager.
- Manage Volunteer Facebook page.
- Manage all volunteer events; orientation day, and volunteer wrap-up party alongside Events Coordinator.
- Brainstorm new ideas to promote volunteer opportunities and follow through with these promotions.
Sponsorship Sales & Support
- Support the team to administer Musicfest sponsorship renewals and potential opportunities.
- Ensure that all sponsorship solicitations are coordinated and communicated accordingly to provide our partners a positive and consistent experience.
- Assist the team to grow our sponsorship base within the immediate area as well as focus on the surrounding regions like the GTA and Durham.
Marketing/Media Campaign
Assist Marketing team with;
- Review the media outreach timelines and suggest any advertising opportunities to enhance the festival.
- Keep apprised on new opportunities to improve our untapped park revenue.
- Ongoing social media updates.
Events & Office
- Assist with pre-season press conference, sponsor appreciation functions.
- Answer phones and reply to email festival inquiries.
- Complete a post-event written report.
Onsite at Park (July & August)
- Oversee Volunteer program on-site.
- Assist team with onsite responsibilities.
- Assist in merchandise counts, revenue counts, and volunteer merchandiser process management.
- Respond to concerns/inquiries from staff and volunteers.
- Assist the team with merchandise kiosk set-up if it is deemed safe to do so. Prepare merchandise revenue counts, and volunteer merchandiser process management.
- Help organize backstage, including potential sponsor meet & greet and green room cleanup at the end of the night.
- Assist in pick up/delivery of supplies, food, and equipment.
General Skills
- Must be available to work from PMF office throughout the week during July and August and available every Wednesday and Saturday over the festivals concert run.
- Approximately two to three years of experience in events or tourism related roles.
- Experience with project management is an asset.
- Ability to multitask and prioritize assignments to meet deadlines.
- General administrative duties as required while working from the Musicfest office.
- Fluency in Windows & Mac operating systems & applications.
- Valid driver’s license and clean driving record required.
- Must be able to successfully complete criminal background check.
- Oral presentation and public speaking skills essential.
- Written and verbal communication skills essential.
- Ability to exhibit diplomacy and professionalism under pressure.
- Ability to solve problems quickly and appropriately.
- Professional and presentable when meeting with sponsors and the board of directors.
- Must be able to successfully complete criminal background check.
